Most arts organizations run their year on tools that don't talk to each other, and a volunteer fills the gaps by hand.

Takes entries and entry fees, but has no idea who your members are.

Lapsed members, prospects, jurors, buyers and every artist who has ever entered one of your calls are free, and there's no limit on how many you keep.

Many membership platforms bill for every contact in your database, including lapsed members and your mailing list. We don't.

Two

Your entry fees know who your members are.

Set a member fee and a non-member fee for each call. At checkout, members pay the member fee and everyone else pays the non-member fee. Nobody has to check by hand.

Many call platforms charge setup or per-call fees before a single entry arrives. We don't.

    Dates, entry fees, the questions you want answered, how many works each artist may enter.

  2. Artists enter

    Online, with their images. They can save and come back, and pay when they're done.

  3. Jurors score

    From home, in a web browser. They see the work, not the artist's name.

  4. Results go out

    Acceptance and decline emails in one batch, each with pictures of the artist's work.

  5. The show

    Wall labels, price list, drop-off sign-in sheets and an online exhibition, ready to print or share.

All year round, membership runs alongside. Members join and renew online, get a reminder before their membership ends, and pay member rates wherever you charge one: entry fees, workshops and classes.

Your money, your data

Nothing locked in

Payments go straight to you

Entry fees, dues and sales are paid into your organization's own payment account. Our charge for a call is taken out of entry fees after it closes, so you never pay us up front.

Card numbers never reach us

Cards are entered on your payment provider's secure form. We never see or store full card numbers or security codes.

Export everything, any time

Members, contacts, entries, scores, invoices and every original image, in formats a spreadsheet can open. No request, no waiting, no fee.

Your data stays yours

We don't sell it, we don't advertise to your members, and this site has no trackers. Artists keep the copyright in their work.

Questions

What boards usually ask

What counts as an active member?

Someone with a paid membership that hasn't expired on the day we bill. Lapsed members, prospects, jurors, buyers, your mailing list, and every artist who has entered one of your calls are free and unlimited.

Who pays the submission fee, the organization or the artist?

We bill the organization, not the artist. Most organizations cover it within their entry fee. After the call closes, the charge is taken out of the entry fees you've collected.

What if we run a free call?

If a call has no entry fee, there are no fees to take our charge from. So we keep a card on file and bill you monthly, at the same per-submission rates.

Is there a contract or a minimum term?

No. It's month to month and you can stop at any time. You pay for calls that have closed and for the last month's active members, and that's all.

What happens to our data if we leave, or if ArtistQuarter shuts down?

You can download all of it at any time, whether or not you're leaving. After you close your account you have 60 days to download anything you missed, and then we delete it. If we ever decide to shut down, we'll give you at least 90 days' notice and keep the export open until the end. See the Terms.

Can we keep our existing website?

Yes. Each call has its own page at its own web address. Link to it from your website, newsletter or social media posts, and artists enter from there.

How do we move from our current system?

Use the import tool to bring in your member list from a spreadsheet, including membership types and expiry dates if you have them. If anything doesn't line up, email us and we'll help. You can run your next call with us while you finish up any calls still open elsewhere.

Is jurying anonymous?

Yes. Jurors see each work's image, title, size and medium (and the artist's description, if you choose), but never the artist's name.
